Office email is no longer used from one computer only. On a normal workday, the same account may be opened on a laptop, a phone, webmail, a tablet at home or a workstation at the office. This is where many companies run into a hidden problem: the protocol used to configure the account can decide whether messages stay synchronized or become scattered across devices.
POP3 and IMAP are not just two technical settings inside an email app. They change how the mailbox is stored, what happens to sent messages, how read and unread states behave, how easy it is to recover old messages and how smoothly the account can be moved to another device. For office email, especially on a custom domain, the right choice affects day-to-day continuity.
The real difference: local download or synchronization
POP3, short for Post Office Protocol, traditionally works by downloading messages from the server to a device. The email app checks the server, retrieves messages and keeps them locally. In many older setups, after download, messages were deleted from the server or kept there only for a limited time.
IMAP, short for Internet Message Access Protocol, works differently. The mailbox stays on the server, while email apps display and synchronize the same state. If you read a message on your phone, it appears as read on your laptop as well. If you move a message into a folder, that folder is updated in webmail too. If you send an email, the sent message can remain visible in the same folder on every device.

What POP3 still does well, and where it becomes fragile
POP3 is not wrong in every scenario. For an old account used from one computer only, with very limited server storage, it can still feel practical. Messages are downloaded locally, can be read offline and the server does not fill up as quickly if the app is configured to remove messages after download.
POP3 has a few clear strengths in simple workflows:
- Lower server storage use, especially when messages are moved locally.
- Offline access to messages that have already been downloaded.
- Simple setup for one computer and an older way of working.
- Local archiving for companies that already have strict local backup procedures.
The problem starts when the same address is used on several devices. A message may be read on a laptop but still appear unread on a phone. An email sent from the phone may not appear on the computer. Local folders may not match webmail. If a computer fails and the local archive was never backed up, the message history can become difficult to recover.
In practice, POP3 shifts responsibility to the user: local backup, manual migration, careful settings and attention to every device. For business email, that becomes a real operational risk.
Why IMAP fits modern work better
IMAP is designed for access to the same mailbox from multiple places. That is exactly how most teams work today. Employees check email on their phones, reply from laptops, search messages in webmail and change devices more often than before.

IMAP has important advantages for office accounts:
- Synchronization across devices: read, unread, moved, deleted and archived states.
- Consistent webmail: what you see in the app closely matches what you see in the browser.
- Easier setup on a new computer: reconnect the account and the history reloads from the server.
- Better sent-message tracking: the Sent folder can be shared across apps.
- Safer continuity: if a device is lost or fails, the mailbox does not depend on that device.
- Cleaner backup logic: the server becomes the central place that must be managed correctly.
IMAP also has limits that should be understood. Because messages remain on the server, storage space matters. If the server quota is small, the mailbox must be cleaned periodically or upgraded. If you delete a message on one device, that action is synchronized elsewhere too. For a good experience, the internet connection and the server security settings must also be correct.
Why this migration is happening now
The move from POP3 to IMAP is driven by practical needs, not by technical fashion. Work has moved across several devices, and users expect email to behave the same everywhere. If an important message is sent from a phone, it should appear in the history on the laptop. If a client sends a proposal, it should not remain hidden on whichever computer downloaded it first.
There is also a wider signal from modern services: external account fetching through POP is being reduced. Google announced changes for Gmailify and POP in Gmail: after the first quarter of 2026, new users can no longer add external accounts through POP in Gmail, while existing users will have support until January 2027. At the same time, connecting through dedicated apps or through IMAP remains the natural approach for external accounts.
For companies, the message is straightforward: if an email account is used daily, on a custom domain, across several devices and with a need for reliable history, POP3 becomes fragile. IMAP lowers the risk of messages being split between computers and makes administration far more predictable.
When POP3 can still make sense
There are still cases where POP3 can be acceptable. For example, a secondary account used rarely from one computer only, with a properly managed local archive. Or an old account where the server has very limited storage and the company already has a clear local backup process.
Even then, the setup must be checked carefully: whether the app keeps a copy on the server, how long messages remain there and where sent messages are stored. A small setting can make the difference between a useful archive and a mailbox that is hard to rebuild.
How to move without losing email
Moving from POP3 to IMAP should be treated as a data migration, not as a simple checkbox in the email app. Before any change, there should be a copy of the local archive. In Outlook, that may be a PST file. In Thunderbird, messages may be stored in the app profile or in Local Folders.
A clean process usually looks like this:
- Check where old messages are stored: on the server, locally or split across devices.
- Create a backup of the local archive before deleting or reconfiguring anything.
- Configure the account through IMAP using the server, ports and authentication recommended by the provider.
- Map the key folders: Inbox, Sent, Drafts, Archive, Trash and Spam.
- Move relevant local messages to the server, into IMAP folders, if the history must be visible on all devices.
- Test synchronization: send an email, read it on another device, move it into a folder and check webmail.
- Disable POP3 after the migration is confirmed, so duplicate downloads or parallel behavior do not appear.
Do not delete the old profile immediately. Keep it for a few days or weeks, until you are sure the important messages are on the server and the folders synchronize correctly.
What happens to attachments, files and other data
With email, apps are not transferred the way phone apps are moved during a smartphone migration. Each app must be configured again with the same account, using IMAP. Messages, folders and email attachments synchronize if they are on the server. Attachments remain accessible inside the related messages as long as those messages were moved or kept in the IMAP mailbox.
If attachments were downloaded separately to a computer, they are not moved automatically through IMAP. They are local files and should be saved separately, preferably in a clear storage location such as cloud storage, an internal server, NAS or a backup folder.
One detail is often missed: IMAP synchronizes email, not contacts and calendars. For contacts and calendar data, you need Exchange, Microsoft 365, Google Workspace, CalDAV, CardDAV or another service supported by your provider. A basic IMAP account synchronizes messages, but it does not guarantee address book and calendar synchronization.
Good apps for office email over IMAP
For an office email account on a custom domain, the right app depends on platform, budget and how the team works. The options below are strong choices for IMAP accounts, but they should be selected based on real needs.
Microsoft Outlook
Outlook is a good fit for companies already using Windows, Microsoft 365 or Microsoft-based workflows. It can also be used with IMAP, while Microsoft 365 or Exchange accounts offer a more complete experience with email, calendar and contacts. For a simple IMAP account, Outlook works well for email, but calendar and contact synchronization depend on the services available on the server.
Mozilla Thunderbird
Thunderbird is one of the best free options for custom-domain email. It is flexible, handles multiple accounts well and works cleanly with IMAP folders and identities. It is a strong choice when you want control, portability and low cost.
eM Client
eM Client is suitable for users who want a more modern interface and a desktop experience closer to an office suite. It works well with IMAP and SMTP, and for some services it can also integrate calendars or contacts. It is a good option for Windows and macOS when a friendly desktop app is preferred.
Apple Mail
Apple Mail is a natural choice for iPhone, iPad and Mac users. IMAP accounts are relatively simple to configure and integrate well with the Apple ecosystem. It is especially suitable for users who work mostly or entirely on Apple devices.
Gmail app
The Gmail app on Android can also be used with non-Gmail addresses, including IMAP accounts. It is useful for users who prefer the Gmail interface and want a stable mobile app. For office email on a custom domain, the IMAP server, SMTP server, ports and authentication method must be entered correctly.
Samsung Email
Samsung Email is a good choice for Samsung phones, especially when the user wants an app separate from Gmail. It works well for IMAP accounts, integrates nicely with Galaxy phones and can be convenient for keeping business email separate from personal accounts.
The practical choice
If you use email on a single computer and have a very clear local backup procedure, POP3 can still work. But for almost any active office account used on phone, laptop and webmail, IMAP is the safer and easier option to manage.
Moving to IMAP means fewer messages lost locally, more consistent folders, sent messages visible everywhere and easier migration when a device is replaced. The important part is to do the move in a controlled way: backup first, correct configuration, folder checks and keeping the old archive until the history is confirmed.
